Job Title: Development Associate 

Department: Development

Reports To: Director of Development

FLSA Status: Exempt, salary


 Plays a primary support role for a fast-paced Development office that is charged with meeting and/or exceeding financial goals through a robust individual and major gifts program (restricted and unrestricted), annual giving program, and special events.



  • Maximize the benefits of the ticketing/database system from gift entry and   records enhancement to donor recognition and prospect management.
  • Manage mailing lists for e-communications, annual stewardship mailings, and solicitations including acquisition, renewal and special appeal mailings.
  • Assist in tracking annual support results through data extractions and creation of reports.
  • Prepare proposal packages, follow-up correspondence and pledge reminders.
  • Process gifts including cash, pledges, and grants awarded. Maintain and update constituent records. Run detailed and summary reports on a monthly basis or as needed.
  • Ensure timely acknowledgments and correspondence.
  • Prepare and update correspondence for members and donors sent via database.
  • Regularly update MailChimp mailing lists for members and donors.
  • Manage administration of annual membership program. Serve as point person for all annual membership inquiries and provide direct support for members.
  • Provide frontline database and technical support for the fundraising office.
  • Develop and produce reports to track performance and results, and run system processes at necessary intervals.
  • Build and update gifts, benefits, and membership programs in database. Work with Director of Ticketing to regularly update gift information as it pertains to specific shows.
  • Work with Finance to reconcile reports and perform light bookkeeping tasks.
  • Perform prospect research and record pertinent donor data and research information.
  • Provide administrative support for grants and institutional giving, including sponsorships for programs and events.
  • Assist with tax letter preparation.
  • Assist with planning and executing member and donor stewardship efforts and events.
  • Assist with monthly renewals for Ghost Light Society memberships.
  • Administration of intermittent fundraising efforts using Mobile Cause account.
  • Maintain a calendar of pertinent proposal deadlines for the Development Department.

 To perform this job successfully, an individual must be able to perform each essential duty satisfactorily in a fast-paced environment with competing priorities. A strong attention to detail and the ability to work under pressure with frequent interruptions is critical. Must have the ability to work effectively as a team player, as well as independently. Because of the nature of database information, a high level of discretion is required. An interest in organizing information systems and protocol is beneficial, and creativity in doing so is a plus.

A Bachelor’s degree or equivalent experience and two years of development experience is required.
